Privacy Policy
Last updated: October 21, 2026
This policy explains what information The Kennel (https://the-kennel-ikrh.onrender.com) keeps, why, who can see it, and your choices. The Kennel is operated by Cee Dee Outdoors LLC ("Cee Dee Outdoors", "we", "us"), Troy, New Hampshire. Contact: ceedeeoutdoors@gmail.com.
1. Trainers control their kennel's information
Most information in The Kennel is put in by a trainer about their own business, clients and dogs. The trainer decides what to record and who to invite, and owns that data (see the Terms of Service). We store and process it on the trainer's behalf to run the service. If you are a trainer's client or helper and have a question about your information, you can ask the trainer or us.
2. What we keep
- Account details: name, email, phone number, and (for clients, if the trainer enters it) mailing address. Passwords are stored only as a one-way hash (bcrypt); we cannot see them.
- Dog records: names, breed, sex, birth date, color, registration and microchip numbers, pedigrees, vaccines and due dates, heat records, health and travel papers (such as rabies certificates and CVIs), wins and trial entries, placements and proof (ribbon photos, results sheets).
- Photos, videos and documents that trainers, helpers, clients and single owners upload.
- Training and care logs, including the time, notes, ratings, birds used and, for quick logs, the GPS location of the phone when the log was made (only if the person allows location access in their browser).
- Messages and notes between a trainer and clients, kennel news posts, and weekly field reports.
- Billing records: for trainers' clients, running statements, invoices and payments the trainer records (for example a Venmo, check or cash payment). For kennels, the plan, billing cycle, dog-count snapshots, platform invoices and payment status. We do not store card numbers; card payments are not live yet, and when they are, Stripe will handle card details.
- Alerts: if you turn on notifications, your browser's push subscription (an address at your browser's push service and its keys) and a device label such as "iPhone Safari", plus a record of alerts sent and read.
- Security and history: a sign-in session record, temporary counters of sign-in and sign-up attempts by email and internet (IP) address to stop abuse, and an audit log of important changes (for example invoice edits, settings changes and archived or deleted records) with who made them and when.
- Agreement record: when a trainer or single owner signs up, the date and time they agreed to these Terms and this Policy, and which version.
We do not knowingly collect information from children under 13.
3. How we use it
To provide The Kennel (show each person the records their account allows), send alerts and reminders, keep accounts secure, back up data, bill kennels for their plan, answer support requests, and fix and improve the service. We do not sell personal information, we do not show ads, and we do not use third-party analytics or tracking tools.
4. Who can see it
- Inside a kennel: the trainer sees the kennel's clients, dogs, logs, messages and billing. Helpers see the kennel's dogs (including vaccines and log history) and can log training and care; they do not see billing, client pages or messages. Each client sees their own dogs, statements, messages, and the posts and photos the trainer shares with them; care-log entries are shown to the owner only when the trainer chooses. GPS locations from quick logs appear only in the trainer's screens, not on client or helper pages.
- Single owners: only the owner sees their account.
- Kennels are separate: one kennel cannot see another kennel's data.
- Us: our platform owner console shows each kennel's plan, status, dog count and billing, but not client names, contact details or dog records. People who run The Kennel can technically access the stored data to operate, back up, secure and support the service, and do so only for those reasons.
- Service providers that store or carry data for us (see section 5).
- Legal reasons: if required by law, or to protect the rights, safety or property of users, the public or us.
- Business transfer: if the business is sold or merged, the data may transfer with it under this policy.
5. Service providers and where data is stored
- Render (render.com) hosts the app, its database and uploaded files on a server in the Virginia, USA region.
- Cloudflare R2 stores our off-site backups (a nightly copy of the database and copies of uploaded files).
- Browser push services (Apple, Google, Mozilla or Microsoft, depending on your device) deliver alerts to devices that turned them on. The alert shows a short title and text.
- Google Maps: a quick log's location is shown as a link; your phone opens Google Maps only if you tap it.
- Email: the app does not send email yet. Emails it would send (invitations, password resets, alert summaries) are kept in the server's mail log and database until an email provider is chosen.
- Stripe (planned) will process card payments for kennel plans. Not active today.
- Venmo: payments clients send trainers by Venmo happen in Venmo, between them. The Kennel only keeps the trainer's Venmo username (if they add one) and the payment records the trainer enters.
6. On your device
The Kennel uses one sign-in cookie (kept for up to 30 to 365 days depending on the account type, or until you sign out) and no advertising or tracking cookies. The installed app stores some pages on your phone so it opens with weak signal, may keep training logs on the phone until it can send them, and remembers small preferences (such as hiding the "install" tip).
7. How long we keep it
- Information stays while the account is active, or until the trainer (or you) removes it.
- Trash: most deleted items (photos, videos, vaccines, wins, heat records, trial entries) go to a Trash for 30 days and are then removed for good. Archived dogs stay archived until someone chooses "Delete forever", which is possible after 30 days in the archive.
- A trainer can deactivate a client, which ends their sign-in; the records stay with the kennel.
- Backups: copies of removed data can remain in backups for a while: on the server, nightly backups for about a week and monthly backups for about three months; and in our off-site backups (Cloudflare R2) for longer.
- The audit log and billing records are kept while the account exists.
- There is no self-service account deletion or data export today; email us to ask (see section 9).
8. Security
Connections use HTTPS. Passwords are hashed. Each kennel's data is kept separate and checked on every request. Files are served only to people allowed to see them. Sign-ins are rate-limited. Off-site backups are encrypted at rest by Cloudflare; backups on the server disk are not separately encrypted. No system is perfectly secure; if a breach affects your information we will notify you as the law requires.
9. Your choices and rights
- Change your alert settings in the app (Alerts), remove a device, or turn alerts off on your device. Clients and helpers can ask their trainer to update their name, email or phone; trainers can update their clients' details.
- Ask us (or your trainer) for a copy of your information, to correct it, or to delete it, at ceedeeoutdoors@gmail.com. We may need to confirm who you are, and some records (for example billing records a trainer must keep) may be kept where the law allows.
- Depending on where you live, you may have other privacy rights.
10. Changes
We will post updates here with a new "Last updated" date, and give notice in the app or by email for important changes.
